Preparing for Conference Part 1

RWA National isn't until July11, but I'm planning already. I thought I would share, in this post and next week's post, a little of what I've learned about getting ready for a conference. Most of which I've learned the hard way, I might add. :)

Weeks out, I make sure I've set up any editor or agent appointments. Also, don't forget your hotel and plane reservations! Lindi and I learned a lesson this year. In the few days between checking out flights and actually making the reservations, the cost went up $50! And then while we were making our reservations simultaneously, hers went through but mine didn't. They had maxed out on the "special rate." I could not believe it! I called, and there wasn't a thing they could do. So we're going to be on different flights coming home (either that or I could have paid $90 more for the same flight). So the lesson learned: reserve those flights EARLY!

Another thing I've learned to do is to make a file folder for each conference I attend. That way I can file all receipts for reservations and payments made. And on the outside of the folder, I write a schedule. When I schedule an event, I have it written down in a format I can carry around with me during the conference (not on my calendar at home!). I also jot down cell phone numbers of people I know I'll want to get hold of during conference.

During the weeks ahead of time, you'll also want to check your supply of business cards so you'll have time to order more if needed. And you'll want to work on your pitch for any books you'll be presenting during your appointments (or during chance meetings where someone might ask you!). I suggest keeping a computer file of all your pitches. I keep it updated, then print a copy before each conference. I learned this trick after having to call my husband from two different conferences and have him read me my pitches so I could make sure I had them right. Not fun for the husband! LOL

  2. I love the file idea. I do something similar, but I like your ideas. I put the phone numbers for people I needed into my cell phone. Iknew I wouldn't lose them that way. Now I also use my cell phone as a back up to my daytimer. I skd all my appts right into my daytimer. Then I have my calendar with me to skd any things I need to follow up on after the conference too.
